Pre-Robot Manual Process
Wokingham Health Visiting team provides universal and targeted services to families with children aged 0-5. As a part of the new commissioning of the Health visiting team in 2022, a new requirement was identified to provide additional contact with parents at the 3 and 6 month milestones after birth. This will enable parents to identify any concerns with their child/children and access the teams for support earlier.
This process was not completed manually by the service; instead, Intelligent Automation was used to achieve this objective.

Post-Robot Automated Process
A digital method of contact is used to achieve the new commission and provide parents with additional information resources and an improved patient experience. The automation sends an email to parents as specified by the Informatics reports provided monthly for both 3-month and 6-month contacts and updates the digital form on Rio to effectively report the number of digital contacts sent. It also updates the progress note on the patient record to reflect the digital contact sent. The automation will also send an exception email if no contact method is achieved or if the process cannot be completed for other reasons.
The service believes that automation enhances its professional appearance and aligns with the digital age, thereby meeting the preferences of clients who favour digital communication. Furthermore, automation has proven advantageous by alleviating the burden on staff managing new processes and eliminating the need for additional administrative personnel.
