Pre-Robot Manual Process

The Common Point of Entry acts as the Gateway to secondary care mental health service for patients across Berkshire, triaging many referrals for a variety of different services across the county. CPE receive around 300 Neuropsychology (ADHD/ASD) referrals each month, often resulting in backlogs in routine referrals within the service.

The CPE Admin team receive the referrals from the GP via email and open the referral to CPE in RiO to the clinical triage pot. The CPE clinician will triage the referral deeming which service it is appropriate for and send back to the admin team to transfer onward to the Neuropsychology service. CPE Admin would then close the open referral to CPE and open a new referral to the relevant team (ASD/ASD) and email the Neuropsychology team to inform.

Processing these referrals was a lengthy manual process, taking a lot of valuable clinical and administrative time that could be spent on processing urgent referrals and responding to phone calls.

Post-Robot Automated Process

The automation picks up the referral process after the admin team have initially processed onto RiO. The Robot accesses Rio into and picks up referrals form the dedicated ASD and ADHD waiting lists, it closes the initial CPE referral and opens a new referral directly to Neuropsychology service. The automation will email Neuropsychology service to notify that a new referral has been created to their service and a progress note will be created to keep record of all actions taken by the automation.

Streamlining the previously lengthy process has allocated more hours for service members to focus on meaningful administrative and clinical tasks. By eliminating a portion of the manual processing required by CPE administration, staff satisfaction has increased due to the improved efficiency. Additionally, this enhancement has minimized the backlog of referrals within the service, thereby alleviating stress among staff members.
