Pre-Robot Manual Process

The Recruitment team receives a substantial number of applications for positions throughout the trust, with a large volume of interviews conducted annually.

The interview process was highly manual, requiring recruitment and recruiting managers to create documents and formulate interview questions prior to the interview. The recruiting manager received the relevant documents, ranked the trust values pertaining to their service, selected interview questions, and prepared the Part B Form before conducting the interview. During and after the interview, the Part B form would be completed, followed by the completion of the Part A form post-interview. The recruiting manager then sent all documentation back to the Recruitment Management Team for the candidate to advance to the next stage.

There was a need to automate the process to introduce an efficient and structured online option for recruiting managers to create interview questions and have the interview paperwork ready ahead of the interviews, aiming to augment and supplement the current process.

Post-Robot Automated Process

The new process introduced a Dataverse to store the EDI and VBR interview questions based on the role category and banding. A Microsoft form has been developed to allow the interview panel members to prepare and create the questions for the interview, upon submission of the form, the interview paperwork is created in MS word and sent via email to the recruiting manager and their panel along with a summary of the questions.

The automation has reduced the need for manual tasks by providing an automated email link to the question bank. This enhancement allows the recruitment team to focus on more meaningful work. Moreover, it creates a more streamlined process for recruiting managers, ensuring a better experience during the recruitment process and returning valuable time to the service.
